Return & Exchange Policy

Delivery, Pick-Up & Return / Exchange Policy (HVAC Parts)

  1. General Terms
  • All sales are final once the item has shipped or is picked up. No refunds or cancellations will be accepted after shipping or pick-up.
  • We may offer exchanges or returns only under very limited conditions (defective, wrong part shipped, or warranty issues), subject to the rules below.
  • Special-order items (parts ordered specifically or not stocked) are not eligible for exchange or return once shipped or picked up.
  • Shipping, handling, and pick-up charges are non-refundable.
  1. Delivery / Shipping
  • We use trusted carriers (e.g. UPS, FedEx, common freight) for deliveries.
  • You will receive a tracking number once the item ships.
  • Please inspect all deliveries upon arrival. If the packaging appears damaged or the contents appear incorrect, immediately note any damage or shortage on the delivery receipt, and notify us within 5 business days.
  • For missing or incorrect items, we will evaluate and, where valid, issue an RMA (Return Material Authorization) for replacement (not refund) under Section 4 below.
  1. In-Store / Warehouse Pick-Up
  • For orders designated as pick-up, you will receive notification when your parts are ready for pick-up.
  • You must present valid order confirmation or ID at time of pick-up.
  • Once the part has been picked up (i.e. leaves our custody), the sale is final. Exchanges or returns are not allowed except under defective/warranty exceptions.
  1. Return / Exchange / Warranty Policy

Although all sales are final post-shipping/pick-up, under the following limited conditions we will consider an exchange or return:

  1. Defective or Damaged Parts
  • If a part is defective or becomes defective under the manufacturer’s warranty, notify us within 30 days of receipt (unless the manufacturer’s warranty dictates a different timeframe).
  • We will arrange an RMA (Return Material Authorization) and, when applicable, issue a replacement or credit after we receive and validate the defective item.
  • In many cases, we will provide a prepaid return label for the defective item.
  • Credit or replacement is subject to manufacturer’s warranty terms and subject to inspection.
  1. Wrong or Incorrectly Shipped Parts
  • If we ship the wrong part (wrong model, wrong quantity), notify us within 5 business days of receipt, and we will issue an RMA for return of the incorrect part, and ship the correct part to you (at our expense if the error is ours).
  • You must return the incorrect part in unused condition, in original packaging, with all accessories, and clearly marked with the RMA on the label.
  1. Core / Rebate Parts
  • If your part carries a core charge, that charge may be credited only when you return the core in acceptable condition under our core return policy.
  • Core returns must meet manufacturer requirements (undamaged, original packaging, complete components).
  • Core returns are not accepted beyond the time allowed by the manufacturer or by policy (e.g., 90 days), or if the core is not in acceptable condition.
  1. Inspection and Approval
  • All returned items are subject to inspection. If the item fails inspection (used, damaged, altered, missing parts, or not in resalable condition), the return will be rejected and the item may be returned to you at your cost, with no credit issued.
  • We reserve the right to apply a restocking fee (for approved returns) if permitted by policy or manufacturer terms.
  1. Credit or Replacement
  • If the return is approved under this section, credit will be issued (to your original payment method or account) or a replacement shipped.
  • Credit timing depends on processing and inspection, typically within 10–14 business days after receipt and approval.
  1. How to Request an RMA (Return Material Authorization)
  1. Contact our support team (by phone, email, or through our website) with your order number, part number(s), description of issue, and photos if applicable (especially for damage).
  2. If eligible, we will issue you an RMA number (valid for a limited time, e.g. 14 days).
  3. Clearly mark the RMA on your return label and include a copy of your invoice and any documentation.
  4. Ship the item back to us (or to the location specified in the RMA), using a traceable method.
  5. On receipt, we will inspect, approve or reject the return, and proceed with credit or replacement if approved.
  1. Exceptions & Exclusions
  • Used, installed, or altered parts are not eligible for return or exchange.
  • Custom or non-standard parts (special orders) are non-returnable.
  • Shipping and handling costs (outbound and return) are non-refundable, unless the return is due to our error or a qualifying warranty claim.
  • Unauthorized returns (returns without an RMA, returns sent to wrong address, or without proper documentation) may be refused and returned to you at your expense.
  • International orders: customers are responsible for all duties, customs, shipping, and return costs. Exchanges/returns are handled case-by-case.
