Warranty Policy
Last updated: October 27, 2025
This Warranty Policy explains how warranty coverage applies to parts purchased from
HVACExpressParts ("we," "us," or "our"). It should be read together with our
Delivery, Pick-Up & Return / Exchange Policy.
1. Scope of Coverage
- This Policy covers defects in materials and workmanship of HVAC parts sold by HVACExpressParts.
- Warranty coverage is generally provided by the original manufacturer (OEM) of the part. We facilitate claims as the seller.
- Unless expressly stated otherwise, warranty applies to the original purchaser and is not transferable.
2. Warranty Period
Warranty duration varies by manufacturer, product type, and model. The applicable period is the one
published by the manufacturer for the specific part you purchased (e.g., control boards, sensors, motors, compressors, remotes).
- If your documentation (packing slip, product page, or manufacturer datasheet) specifies a period, that period governs.
- If no period is shown on our product page, refer to the manufacturer's documentation or contact us for assistance.
3. Dead on Arrival (DOA) & Early Failure
- If a part is DOA or fails within 30 days of receipt, contact us promptly. We will help arrange an RMA and provide next steps for inspection and replacement/credit in line with the manufacturer's policy.
- In many cases, a prepaid return label may be provided once the claim is approved for evaluation.
4. What Is Not Covered
- Damage from improper installation, misuse, abuse, alteration, or neglect.
- Parts installed by non-licensed personnel where the manufacturer requires licensed HVAC technician installation.
- Electrical damage due to improper wiring, overvoltage, surges, lightning, or inadequate protection.
- Normal wear and tear, cosmetic damage, scratches, dents, or corrosion.
- Damage from environmental exposure (water intrusion, chemicals, pests) or use outside rated specifications.
- Products with defaced/removed serials or missing labels; parts not in original configuration.
- Consumables (fuses, filters, lubricants) and software/firmware issues unrelated to the covered part defect.
- Any part that has been disassembled, modified, or repaired by third parties without OEM authorization.
5. Your Responsibilities
- Retain proof of purchase (invoice/receipt) and provide photos, diagnostics, or technician reports if requested.
- Ensure installation, use, and maintenance comply with the manufacturer's instructions and specifications.
- Return items complete (including accessories/harnesses where applicable) with the RMA number clearly marked on the label.
6. Remedies
If a warranty claim is approved after inspection, the manufacturer's remedy will apply, typically one of:
- Repair of the defective part; or
- Replacement with a new or re-manufactured part of equal or greater value; or
- Credit to the original payment method/account (where permitted by the manufacturer).
The specific remedy is determined by the manufacturer's warranty terms. We will coordinate the process as the seller.
7. How to Start a Warranty Claim (RMA)
- Contact us with your order number, part number, description of the issue, and supporting media (photos/video/diagnostics):
Email: sales@hvacexpressparts.com |
Contact Page: hvacexpressparts.com/pages/contact
- We will review eligibility under the manufacturer's warranty and issue an RMA number if applicable (valid for a limited time, e.g., 14 days).
- Pack securely and return via a traceable method to the address specified on the RMA. Unauthorized returns may be refused.
- Upon receipt, the item will undergo inspection and testing. If approved, we will proceed with the applicable remedy.
8. Shipping Costs for Warranty Claims
- Outbound shipping charges are not refundable.
- For approved warranty claims, a prepaid return label may be provided at our or the manufacturer's discretion; otherwise, the customer is responsible for inbound shipping.
- If a returned item fails inspection (no defect found, used/damaged/altered), the claim may be denied and the item returned at your expense.
9. Limitations & Disclaimer
- This Policy provides the exclusive remedy for defective parts to the extent permitted by law.
- We disclaim liability for incidental, indirect, special, or consequential damages (including labor, diagnostics, removal/installation, refrigerant, rental equipment, or downtime).
- Some jurisdictions do not allow certain limitations; rights may vary by state.
10. Relationship to Returns Policy
Warranty claims are separate from returns for convenience. All sales are final after shipping/pick-up per our
Delivery, Pick-Up & Return / Exchange Policy.
Approved warranty claims follow the manufacturer's remedy (repair/replacement/credit). Restocking fees do not apply to approved warranty replacements.
11. Governing Law
This Warranty Policy is governed by the laws of the State of Florida, without regard to conflict of law principles.
